How Unified Commerce Powers a Long-Running Independent Retailer

Graywhale Entertainment has been a cornerstone of Salt Lake City's independent music scene for a long time. As a multi-location independent retailer dealing in new and used music, movies, and more, Graywhale operates in one of retail's most demanding environments — one that requires fast decisions, accurate inventory, and a tech stack that can keep pace with a constantly shifting catalog.

That's why Graywhale has been a FieldStack partner for over a decade. For owner Dustin Hansen, the relationship has been less about software and more about a system that supports every dimension of the business. "I don't view it as just a POS system," Hansen says. "It's a full support system — something that elevates and helps me maintain my business."

From Manual Processes to Real-Time Insight

When Graywhale first implemented FieldStack, the impact was immediate. For a retailer constantly shifting new and used inventory, accurate inventory tracking isn't a nice-to-have — it's the foundation of the entire business model. Before FieldStack, bringing a used item into inventory meant manual data entry at every step. The platform changed that completely.

"We do buy, sell, trade — we're constantly taking product and scanning items into inventory," Hansen explains. "I had to do that manually for years and years. And then there it was: there’s the picture, the matrix code matches, there’s the item. That was a huge benefit." The depth of FieldStack's UPC catalog meant Graywhale could process trade-ins faster and with far greater accuracy, freeing up staff time and reducing errors at the point of intake.

Beyond inventory, the platform gave Hansen something he hadn't had before: reliable numbers he could actually use. "That was the most important part," he says — getting an integrated POS system connected to inventory so he could finally pull accurate data and present it with confidence. "That was the big change."

A Partnership Built on Responsiveness

For a business that has been running on FieldStack for over a decade, the quality of the support relationship matters as much as the software itself. Hansen is candid about the value he places on it. "There's never been a dumb question — even if it's dumb, it's handled incredibly well. There's always an answer — a timely answer. Completely receptive, completely responsive."

That responsiveness is backed by something deeper: a team that brings genuine retail expertise to every conversation. FieldStack's product development is shaped by real-world patterns observed across independent retail — not just feature requests. That perspective shows up in client interactions too, in the form of guidance that goes beyond troubleshooting.

It played out directly when Graywhale transitioned to FieldStack's eCommerce platform. Hansen was skeptical of changing established workflows — until a direct conversation with the FieldStack team changed his mind. "I took a deep breath and did it. Within literally two orders, I was like, 'this is the way to do it.'" The recommendation came from deep implementation experience, and Hansen could feel the difference immediately.

Technology That Matches the Business

At Graywhale, inventory never sits still — new and used titles flow in and out constantly, pricing decisions are made on the fly, and no two days look the same. A rigid or generic system would struggle to keep up — and Hansen has looked at the alternatives. What keeps him with FieldStack is the combination of depth and flexibility. "The amount of information available — the magnitude of UPC information — nobody else offered that. A lot of other solutions were streamlined and quick, but they didn't give you the breadth of information."

That depth extends to how the platform supports Graywhale's team on the floor. "It's very easy to teach my employees how to look for things, run reports, handle different allowances. It's always active." For an owner who can't always be on-site, that reliability matters. Hansen says the confidence of having FieldStack running at all times — whether a staff member needs to pull a report, track inventory, or manage sales — means the business runs without requiring his constant oversight.

Community First, Technology Second

What drives Hansen isn't the technology itself — it's what the technology makes possible. His focus remains on the customer in front of him. "The exciting part is watching someone walk in the door for the first time — whether they're 12 or 50 — and being able to find them the product they need, give them a suggestion, establish rapport, and have them come back. That customer service side of it is very fun for me."

Graywhale's longevity in Salt Lake City is a product of deep community investment — supporting local artists, hosting events, and building a culture that customers can feel the moment they walk in. The right technology infrastructure is what allows Hansen and his team to focus on that work instead of wrestling with operational friction. Hansen describes FieldStack as woven into every part of how the business runs — tracking, inventory, sales, advertising — and says the confidence of having it there at all times is what lets him and his team stay focused on the floor.

Conclusion

Graywhale Entertainment's long run as an independent retail institution is built on sharp instincts, genuine community connection, and a willingness to evolve. FieldStack has been part of that evolution for much of the store's history, growing alongside the business and supporting it through significant operational change. For Hansen, the decision to stay is simple. "There's very little that could ever take me away," he says. "I would highly recommend it — I do, all the time, whenever someone asks."
