Choosing an Omnichannel POS: Questions for Retailers Ask in Every Demo

A customer checks your website, sees the last pair of boots in their size in stock at their local store, and drives over to find an empty shelf. The pair sold at the register 20 minutes earlier, but the website was still waiting on its next sync.

Moments like that never show up in a POS demo. Every vendor calls its system omnichannel, and a scripted walkthrough on clean sample data can make almost any setup look connected. The questions below are built to get past the script, with what to ask, what to have the vendor show you live, and the answers that usually mean you're looking at separate systems held together by integrations.

If you're earlier in the process, How to Choose the Best Retail POS System for Your Business covers what to figure out before you book demos, and The 4 Biggest Mistakes Retailers Make When Choosing a Unified Commerce Platform covers the traps to avoid along the way.

What You're Listening For

Every question below gets at one thing: whether your channels share one database or pass data between separate systems. In a unified commerce platform, a sale, return, or loyalty redemption updates inventory and the customer record everywhere the moment it happens, while anything that has to sync is a step that can run late, fail, or map a field incorrectly. For a deeper look at the two models, see Why FieldStack Can Be the Right Fit.

A few phrases come up again and again in demos of integrated systems:

What you hear

What it usually means

"It syncs every few minutes."

Channels run on separate databases, and there will be windows where they disagree.

"We partner with another provider for that."

Another vendor, contract and support line, with data passed through an integration.

"You'd set that up in the ecommerce admin."

Settings live in more than one place and have to be changed twice.

"We can build that with a custom integration."

It doesn't exist yet, and you'd pay to build and maintain it.

"It's on the roadmap."

It isn't available today, so evaluate the system without it.

Questions to Ask About Inventory

If an item sells in store right now, how long until the website and every other location reflect it?

Have them ring up a sale on the demo register and open the same item in the ecommerce admin while you watch. If you hear "it syncs every few minutes," expect windows where your website sells stock you no longer have.

Can you start a transfer between two stores and receive it on the other end?

Watch whether both stores' counts update as the transfer moves and whether in-transit stock shows up for the website and in reporting. Steps that happen in a separate warehouse or inventory tool are a sign the data lives in more than one place.

Does the website sell from the same inventory as my stores?

Ask them to place an online order for pickup and show where the stock gets reserved. A separate ecommerce allocation that someone maintains by hand means the channels run on different data.

Questions to Ask About Customers and Loyalty

Can a customer earn points online and redeem them at the register the same day?

Ask them to do it in the demo, start to finish. Your best customers are the ones shopping both channels, so a rewards balance that lags or differs between the website and the register frustrates exactly the people you most want to keep.

What happens when a customer uses their phone number in store and their email online?

Have them look up a customer at the register and show that person's online orders on the same profile. In integrated setups, that shopper often becomes two records with split purchase history and split rewards.

Where does loyalty live?

If the answer involves a partner app, ask who owns the member data and what happens to it if you ever leave that provider.

Questions to Ask About Promotions and Pricing

Will you build a promotion live and show it applying online and at the register?

Pick something real, like 20% off a category for loyalty members at two locations. If you hear "you'd set that up in the ecommerce admin too," every promotion you run will be built twice and will eventually stop matching.

Can a promotion target a loyalty tier, a location, or a single channel?

Rules that combine customer, location, and inventory data run cleanly only when all three live in the same system, so ask to see the setup screen.

Can you change a price and show it on the register and the website?

Shelf, register, and web prices should come from one source and change together. Any lag or second step here will show up as pricing complaints at the counter.

Questions to Ask About Ecommerce and Fulfillment

Is the ecommerce site part of your platform or a connection to another provider?

Listen for "we integrate with" followed by another product name. That means another contract, another support line and another place for orders to get stuck.

Can you walk an online pickup order from checkout to handoff?

Count the screens an associate touches and watch how the store gets notified. Every extra step in a demo becomes a missed pickup on a busy Saturday.

Can an associate process an online return at the register?

Ask to see the return restock inventory and adjust the customer's loyalty balance in the same transaction. Cross-channel returns are where integrated systems lean hardest on workarounds.

Questions to Ask About Forecasting and Reporting

What data does the forecast use?

Ask whether it draws on sales from every channel and recommends quantities by location. A forecast that only sees store sales will under-order what moves online, and one built only at the company level can't tell each store what it needs.

Can you show sales, margin and inventory across every channel in one report?

Listen for "you'd export that." If combining channels means spreadsheets, that's reconciliation work your team will be doing every month.

Does that report include the sale you rang up earlier in this demo?

If it waits for an overnight sync, your reorder and transfer decisions will be made on yesterday's numbers.

Questions to Ask About Running It Day to Day

How many logins will a store manager use in a normal day?

Each separate login usually means a separate system, with its own data and its own settings to keep aligned.

When numbers don't match between channels, where do I go to fix it?

Ask them to walk through resolving a discrepancy. If the first step is figuring out which system has the right number, you're looking at more than one system.

What happens at the register if the internet goes down?

Ask how offline sales make it back into inventory, loyalty, and reporting once the connection returns, and whether anyone on your team has to step in.

See Unified Commerce in Action

With FieldStack, your POS, inventory, ecommerce, loyalty, promotions, and forecasting all share one database, so every store, every channel, and every customer runs on the same real-time information. Inventory stays accurate across locations, customers get a consistent experience wherever they shop, and your team gets back the hours it used to spend keeping systems in line.

Book a demo and we'll show you how a truly unified system can transform the way your stores operate.
